Purpose
This template gives a seller or platform account team a single place to keep the records that usually become urgent during a marketplace review. The goal is not to create a heavy legal memo. The goal is to make trader identity, product claims and notice handling easy to verify.
Trader identity section
The identity section should include registered company name, registration number, tax identifier, working contact point, store name, payment beneficiary and invoice issuer. If those names do not match, the file should explain the relationship in plain language.
Product and notice section
The product section should preserve listing URLs, screenshots, model numbers, warnings, certificates, complaint records and platform notices. Every serious notice should have a date, owner, action taken and follow-up record.
Record checklist
| Template section | Fields to keep | Update trigger |
|---|---|---|
| Trader identity | Company, tax ID, contact, bank, store name | Ownership, bank or store-name change |
| Product evidence | Listing, claims, warnings, certificates, model data | New claim, material change or label change |
| Notice log | Complaint, takedown, response, corrective action | Platform notice or customer safety complaint |
| Governance | Owner, review date, unresolved gaps | Quarterly review or enforcement trend |
- Write the owner of the file and the next review date.
- Mark each fact as verified, supplier-stated, or missing.
- Keep dated screenshots when platform pages, product claims or seller records change.
- Record the business action that follows the review.
Is this only for large sellers?
No. Small sellers benefit because they can answer platform questions faster. Large sellers benefit because the same template can become a control record.
Should old listing screenshots be kept?
Yes. Old screenshots help show what claim was visible at the time of a complaint, order or platform notice.
How to keep it current
The file should be updated when the product changes, the supplier changes, the platform requests documents, a shipment is held, a complaint raises a safety or identity issue, or a new rule date arrives. A stale checklist is worse than a short checklist because it gives the team confidence without current evidence.
A practical way to use this page is to print the record categories into the order folder and mark the missing items before the next purchase order. If the file is still thin, the business can limit the first order, ask for a narrower product scope, or delay a marketplace launch until the supporting record catches up with the sales plan.
